Decommissioning Servers and Retiring IT Hardware and Software assets

In the past few month, a few companies I have worked with are starting to retire their operations and sell off their assets and in doing so, retiring their hardware and software IT assets.
 
The best way to achieve this safely is with an information security plan supporting your process and project.
 
1. Update your existing inventory of assets if you have not already done so
2. Ensure your finance and capital equipment departments are aware of your activities and ensure you get the information they need to remove these assets off the books properly
3. Prepare a strategy and plan to tackle the hardware and software either separately or together because some IT hardware has within it embedded software with licensing
4. Identify your recycle and e-waste and sell off of these assets, either through a local or national secure recycling company or e-waste handler, as well as, identifying any 2nd tier reseller and supplier who will give you value and cash back for your equipment assets at wholesale prices.
5. Ensure you take photos of all assets you are recycling and store those videos and photos along with your retirement and decommissioning projects documentation and make copies and store securely.
 
Once those five steps are achieved, then the work begins and ends. Voila! You are done.
 
Bonus Tip: Be sure to gather, compile and review your software licenses because if in the future a BSA audit comes along, it will be handy to prove what you have and what you had in terms of licensing compliance. Typically, you have more than enough licenses to report on any BSA compliance report discrepancy investigation. Just CYA and be cool about it. I had to handle as BSA audit for an employer of mine and the 3rd party complaint to BSA was proven false and invalid.
